Human Resources Representative (Temporary)

Summary

The Human Resources Representative is a temporary position for up to one year at the Blenheim-Gilboa Power Project in Gilboa, NY. The main duties will include supporting the NY Central Region in contract tracing and COVID-19 efforts. The HR Rep will be available via phone, email, and fax to handle questions, and reach out to the correct functional area specialist, if expert help is required.  Services include responding to inquiries and questions, assisting with HR transactions and other functional areas, handling select HR program administration, and ensuring consistency and documentation of HR processes, procedures, and standards. Under the guidance and supervision of the site HR & Labor Relations lead, may lead and/or  support departmental special projects.

Responsibilities

  • Serve as first point of contact for all general HR inquiries, track all inquires and escalates to other areas within HR when appropriate. 
  • COVID-19 contact tracing for NYPA employees.
  • Provide general administrative support by preparing correspondence, forms and reports, processing confidential reports and documents, etc.
  • Handle sensitive and confidential information and plans/protects the security of information, data and files. Create and maintain electronic files.
  • Schedule and conduct new hire orientation. Guide new hire candidates through the on-boarding process, including completion of new hire paperwork and applicable pre-employment screenings
  • Keep employee file records up-to-date by processing changes in employee records in timely manner
  • Ensure that all documents submitted by new hire candidates and current employees are accurate and compliant
  • Monitor I-9 documentation compliance.
  • Utilize SuccessFactors (MOSAIC) on-boarding module.
  • Provide routine information to employees regarding Policies and Procedures.
  • Assist with data entry for new hires, record changes and process  Employee Action Forms for status changes, transfers, salary changes, etc.
  • Perform a broad range of duties and activities, as assigned, to support the overall HR department.
  • Research and consolidate data for the development of strategy, policies, and programs.
  • Collect and format data to create metrics and prepare presentations and reports.
  • Handle benefit verification, benefit reminders / notifications, retirement system special certifications, retiree mass mailings, retirement system annual updates, and annual health fair preparation.
  • Drive the streamlining and documentation of processes across HR, responsible for maintaining HR SharePoint site for supported groups with process and procedure documentation.
  • Assist with maintenance of job description database.
  • Handle special projects for the site lead. 

 

Knowledge, Skills and Abilities

  • Ability to work remotely.
  • Strong organizational and project management skills. Ability to handle multiple projects.
  • Demonstrated customer service orientation.
  • Familiarity with multiple areas of HR especially benefits administration.
  • Ability to work comfortably with all levels and all areas of the organization.
  • Ability to handle many competing tasks while remaining organized.
  • Strong written and verbal communication skills.
  • Strong research skills in a variety of media.
  • Able to manage a high volume of customer contact and phone calls.
  • Proficiency in Word, Excel, PowerPoint, Outlook, and Access (database).
  • Knowledge of SharePoint and SAP’s HCM Module is preferred.

Education, Experience and Certifications

  • Associate’s Degree in Human Resources, Business Administration, or a related field.
  • Minimum two (2) years HR, HR shared service center, or related experience.

Physical Requirements

  • Ability to sit at a desk and use a computer, scanner and telephone.
  • Ability to occasionally lift up to 20 lbs and assist in setting up for events/programs.
  • Occasional ability to attend meetings/events outside of normal business hours.
