Manager Executive Office

The Manager Executive Office is responsible for projects and assignments that support the daily activities of the President and CEO’s office. Under the guidance and supervision of the Chief of Staff, the Senior Manager leads and supports cross-business unit/departmental special projects, coordinates and develops initiatives, and participates in various interdepartmental and external task forces. The Manager also manages the Office of the President and CEO by providing administrative oversight, preparing presentations, speeches, and public remarks, preparing regular reports to the Board of Trustees, and overseeing the Senior Staff, All Hands, and Trustee preparations. #LI-AV1


  • Coordinate recurring organizational meetings, create agendas, take minutes, follow up on action items, edit presentations, generate reports, and other duties related to administration of the Office of the President and CEO.
  • Oversee schedule for the President and CEO and collect and prepare materials for meetings and events. Ensure logistics, travel arrangements and itineraries are provided for the President and CEO. 
  • Review and approve internal and external correspondence on behalf of the President and CEO and the Chairman of the Trustees. Maintain correspondence log working with the team to ensure prompt responses.
  • Organize and lead special cross-departmental projects under guidance of the Chief of Staff. Prioritize activities, measure, and monitor the progress of deliverables, provide project updates, and seek advice and guidance from senior management on more complex issues.   
  • Support presentation preparation and materials for board meetings
  • Manage, prioritize, and delegate tasks to the Executive Office team and maintain a cost-effective department budget in coordination with the Chief of Staff.
  • Represent the Executive office and act as a liaison with internal departments and external organizations, including high-level executives
  • Drive compliance on applicable laws, rules, regulations, policies, procedures, and best practices, while escalating, managing, and reporting control issues with transparency.

  • Excellent organizational, communication and project management skills with exceptional follow through and attention to detail. 
  • Ability to effectively manage and prioritize multiple projects within varying competing deadlines.
  • Problem-solving skills with the ability to research, identify, quantify, and utilize information to make recommendations that support business choices.
  • Excellent presentation preparation, verbal, and written communication skills. Highly competent writing skills with ability to summarize complicated matters for a variety of audiences.
  • Highly collaborative, influential, and team-oriented, with ability to communicate and build relationships with internal and external stakeholders across all levels and business units.
  • Ability to provide guidance, feedback, and encouragement to team on how to meet deadlines and help resolve conflicts.
  • Capable of handling highly confidential information discretely and responsibly. 

Education, Experience and Certifications

  • Bachelor’s degree with minimum 5 years of related work experience or an equivalent combination of associates degree or high school diploma / GED education and experience required
  • Project management or event management experience preferred. 
  • Supervisory or team lead experience preferred.
  • Interest in and familiarity with energy issues is preferred.

Physical Requirements

  • Approximately 10% travel primarily within NY State.
