Services Assistant I

Provide basic office services support, including mail sorting & delivery, messenger service to external parties, receiving/distribution of packages and office supplies and bank deposits. Operate Postage Machines, Postal Scale, computer and other mailroom equipment. At senior level, manage office supply budget, and provide ground transportation services,.

  • Receive, sort and distribute internal (according to mail runs) and external mail.
  • Act as a messenger by making hand deliveries and pick-ups of important documents and packages to executives or external parties, including Post Office, Bank Deposits and Bill Deliveries.
  • Operate postage metering machines, postal scale, and mailroom equipment
  • Complete certified, registered and overnight mail forms.
  • Enter data into express mail services computer.
  • Prepare packages (packing, taping) for UPS and FedEx packages.
  • Distribute small quantities of office, reproduction and computer supplies.
  • Receive shipments of office supplies, computer equipment and UPS shipments.
  • Record the receipt of these deliveries.  Ensure that the materials delivered are those listed on the invoice and are free from damage.
  • Communicate with vendors/shippers to ensure special delivery needs are accommodated
  • Maintain itineraries, office supply reports and overnight mail logs.
  • Regularly communicate with Post Office employees, messenger companies, supply venders and various mail carriers.  Also deal with numerous NYPA employees from other facilities.

Albany Responsibilities

  • Interact with building management on, owner-responsible repair and maintenance issues, including work scheduling.
  • Interact with potential contractors to secure competitive pricing and quality for NYPA-responsible work.
  • Assure NYPA space is secure and assure all employees have requisite badges; maintain visitor log.
  • Order supplies on own initiative up to pre-set dollar amount.
  • Keep all Albany-based vehicles neat and clean, perform routine fluid level checks, and determine need for repairs and maintenance.
  • Maintain logs and itineraries for Albany-based staff driving assignments.In exceptional circumstances, act as driver for NYPA personnel in the course of performing NYPA business.
Knowledge, Skills and Abilities
  • Demonstrate a high level of Customer Service while paying close attention to schedules and    respond to unplanned projects
  • Ability to operate a number of office equipment:
  1. Multi-function devises- Outlook (Copier/Printer)
  2. Pitney Bowes DM800i
  3. Mailing Machine
  4. UPS Worldship PC
  • Demonstrated knowledge of area highways and various locations.

Albany KSAs

  • Awareness/understanding of division between landlord and tenant obligations under NYPA’s lease.
  • Ability to address issues and resolve disagreement with onsite rep of building management.
  • Ability to formulate modest work scope, time schedule and other elements of work requisitions and ability to negotiate competitive prices; awareness of need to consult with other NYPA departments (e.g. IT office)
  • Maturity and presence to work effectively with building management, and potential vendors and contractors.
  • Ability to operate and maintain all office equipment.


Education, Experience and Certifications
  • High School Diploma or GED Equivalent.
  • At least one year of experience working in a Mailroom environment.
  • Experience in Customer Service. 
  • Valid Driver’s License and a current or pending Defensive Driving Certificate.
Physical Requirements

Ability to lift 30 lbs.
