Summary
Responsible for providing assistance, advice or support for the efficient and effective management and operation of the organization's activities and daily functioning.
Temporary employees are eligible to participate in a retirement plan, a 457 Deferred Compensation plan, and the employee assistance program. Full-time temporary employees that are expected to work at least six months are eligible for medical coverage. #LI-AV1
Responsibilities
- Responsible for the administrative functions of the office. Perform a wide range of administrative and general support duties of a highly responsible and confidential nature.
- Keep an accurate up-to-date calendar for Senior Manager. Schedule travel and important daily meetings including independently determining priority for conflicting schedules.
- Screen and respond to phone calls and email as appropriate.
- Coordinate Department meeting arrangements including agendas, notes and follow-up.
- Responsible for department orientation of new employees, including office set-up.
- Generate reports, handle multiple projects, and prepare and monitor expense reports.
- Prepare confidential employee paperwork, assist in the administration of HR programs for the department; ensure timelines, communications and documentation is coordinated and complete.
- Coordinate department(s) budget input, review invoices and variance reports.
- Review, prioritize and independently respond, where appropriate, to Sr. Management's email. Compose memos, transcribe notes, and research and create presentations.
- Make travel arrangements and track appropriate approvals and resulting expenses.
- Stay abreast of local activity and keep management informed.
- May assign work to others.
Knowledge, Skills and Abilities
- Proficient in Microsoft office programs including Excel, Word, PowerPoint & Outlook.
- Familiar with SAP
- Good knowledge of Department's policies and organizations’ administrative (HR, budget, procurement, compliance) policies.
- Excellent ability to organize, multi-task and be detail-oriented.
- Recognize and maintain confidential information.
- Ability to plan and coordinate major projects with increased experience.
- Strong ability to manage time efficiently to undertake a variety of assignments.
- Thorough understanding of the Department’s/Site’s operations, organization & Compnay procedures.
- Requires a high level of tact and integrity due to the frequency of senior level internal and external contacts and regular exposure to confidential data.
- Relies on experience and judgment to plan and accomplish goals.
Education, Experience and Certifications
- High school diploma or equivalency, and 8 years of administrative experience in progressively demanding environment.
Or
- Associate degree with 4 years of related experience, or a Bachelor's degree with 2 years of related experience
Physical Requirements
Ability to sit at a desk and use a computer and telephone.
